When you have been on a work-related trip, you must fill out an electronic travel
reimbursement form in RUS (AAU’s travel reimbursement and expense system). You also need to scan your receipts and attach them to the travel reimbursement form. This should be printed, signed and submitted together with all original receipts (plane, bus, taxi, etc.).
You also need to enclose the conference programme, seminar programme etc. The travel reimbursement form must be submitted to the unit that has authorised your trip. Your travel reimbursement form will not be processed until all receipts etc. have been submitted, as these must be filed due to auditing. Therefore, it is NOT sufficient to settle your travel account and report it ready in RUS in order to have your expenses reimbursed. Employees at AAU who receive salary from AAU are covered by the business travel
insurance at Europæiske ERV whenever travelling abroad on work-related trips.
However, this travel insurance does not cover private travel, and therefore when business travels are prolonged for private reasons, this part of the trip will not be covered.

As regards trips booked through VIA-TRAVEL (7070 8181), you are automatically covered by the State’s travel insurance: Europæiske ERV. However, you need to collect an
insurance certificate at Lis Bach’s office.
